Organise your files and desktop with AI: rename, sort, deduplicate and OCR without losing a file
An AI agent with folder access can rename hundreds of files, sort site photos by date and turn scans into searchable PDFs in minutes. It can also move things to the wrong place. This guide shows how to combine an AI agent with proven free tools, and how to work with a backup, a plan and your approval before anything changes.
01A new office assistant with the key to one room
Picture a keen assistant on day one. You do not hand over the whole key ring; you give them the key to one archive room and ask them to propose a filing scheme first. They write a list, you mark it up, and only then do they move binders. Anything that looks redundant goes into a box by the door, not the bin. That is exactly how to work with an AI agent on your files.
02Free route vs paid route
Free: classic tools, with AI writing the rules
- Everything finds any file by name in a split second (Windows)
- Bulk Rename Utility renames in bulk, including by photo EXIF date (free for personal use)
- dupeGuru finds duplicate files and similar pictures
- OCRmyPDF adds a text layer to scans so you can search and copy from them
- Double Commander, a two-pane file manager with multi-rename
- Free ChatGPT, Claude or Gemini: describe the mess, get a folder scheme, naming rules or a regex to paste into the tools
Limit: Free chat AI does not touch the files on your computer. You run each step yourself
Paid: an agent that works directly in the folder
About 20 USD a month for a personal plan (Claude Pro or ChatGPT Plus; check current pricing)
- Claude Cowork in the Claude desktop app (Mac and Windows) reads and writes only in folders you connect
- ChatGPT Work in the desktop app can work with local folders and files, depending on plan
- Claude Code writes and runs scripts for big, repeating jobs
- Microsoft 365 Copilot (business licence) summarises OneDrive files right from File Explorer
When paying is worth it: When there are hundreds of files, the job repeats every month, or you have no time to learn new tools
03A safe process: from backup to change log
- 1BackupCopy the folder, or at least confirm your backup is running
- 2PlanAI proposes folders and naming rules; you approve
- 3Dry runA table of what moves where, with nothing touched
- 4ExecuteMove and rename; duplicates go to a review folder
- 5LogA file recording every change so it can be undone

06Which tool for which job
| Job | Recommended tool | Why |
|---|---|---|
| Tidy the Downloads folder | Claude Cowork or ChatGPT Work | Understands what is inside the files, not just the extension |
| Clear the desktop | Cowork with one connected folder | Moves into topic folders and leaves a list |
| Rename 300 files by a rule | Bulk Rename Utility, regex from a free chat | Fast, undoable, nothing sent to the cloud |
| Sort site photos by date | Bulk Rename Utility by EXIF, or a Claude Code script | The shot date is stored inside the file |
| Find duplicates | dupeGuru in move mode | Catches similar pictures and never deletes on its own |
| Find a lost file | Everything, or Copilot search on a supported PC | By name in a second, or by description |
| Unsearchable scans | OCRmyPDF, with Cowork writing the command | Free, local, keeps the page look |
| Standard folder template per project | Claude Code: write a script once | Every new project gets the same structure in one click |
07Example: two years of Downloads
08Example: 1,200 photos from site visits
09Example: a scanned archive you cannot search
10Start in 5 minutes, safely
- 1
Pick one small folder
A test folder or Downloads, not the whole drive and not a live project folder.
- 2
Back it up
Copy it to an external drive or the cloud, or confirm your existing backup is current.
- 3
Connect it to the agent
In Cowork or ChatGPT Work connect only that folder. Without a subscription, use a free chat to get rules for the free tools.
- 4
Ask for a plan only
Say it plainly: 'Change nothing. Give me a table of what moves where.'
- 5
Approve and run
Fix the table, approve, and ask for duplicates to go to a 'to review' folder rather than be deleted.
- 6
Save the rules
Keep what worked as a standing instruction, a skill or a script for next time.
11Do and don't
Do
- Back up before any big tidy
- Grant access to one folder, not the whole drive
- Dry run and a table before executing
- Duplicates to a review folder
- A change log that lets you undo
- Spot-check a sample after OCR
Don't
- 'Delete anything that looks unnecessary'
- Grant access to folders with passwords, sensitive contracts or personal data the task does not need
- Rename inside a team-synced folder without telling the team
- Trust OCR without checking numbers in calculations
- Run an agent on files open in other programs
- Shut the computer down mid-task
12FAQ
Does Claude delete files without asking?
According to Anthropic, Cowork needs your explicit approval before permanently deleting files. Still, ask it to move files to a review folder rather than delete them, and always work with a backup.
Are my files sent to the cloud?
Even when the agent works locally, the content it reads is sent to the model and the conversation is stored in your account. Do not connect folders with data that must not leave your organisation, and check your company policy.
Can I do all of this for free?
Mostly, yes. A free chat writes the rules, and you run them in Bulk Rename Utility, dupeGuru, OCRmyPDF and Everything. What you miss is only the agent doing it for you.
Does Hebrew OCR work well?
On a clean scan, usually yes, with the Tesseract Hebrew language pack. It struggles more with handwriting, dense tables and blurry scans, and numbers in calculations are always checked against the original.
Can Copilot on Windows organise my folders?
Today it is stronger at finding files and acting on images, and some features are only on Copilot+ PCs. For rule-based tidying, an agent like Cowork or ChatGPT Work fits better. Check what is available on your PC.
What about a folder synced with OneDrive or Google Drive?
Every change syncs to everyone sharing the folder. Coordinate first, work on a copy, or run it when nobody is using the files.
